Transfer Ticket Data Elements
Information contained on Transfer Ticket Reports is generated from the Recorder of Deeds Office and DCIS/GIS including any additional information or changes made, after verification by the Assessment Office.
Data Element/Field Definitions
Document Type Full: This is the type of Deed as determined by the Recorder of Deeds. Their determination is based on the title of the document and what it purports to do. Types include Deeds (standard property transfers), Deeds of Correction, Deeds of Dedication, Quit-Claim Deeds, Tax Claim Bureau Deeds, Sheriff's Deeds and Re-recorded Deeds.
Instrument Number: This is the number assigned to the document by the Recorder of Deed’s computer system. It is used to help track and reference the documents in their system. These numbers are assigned sequentially to all documents recorded in the Recorder of Deeds Office (including mortgages, assignments, etc.) beginning with the number 10,000,000 in October of 2001.
Location: The municipality in which the property is located. The Recorder of Deeds staff abstracts this information from the heading of the legal description (e.g. generally the first paragraph that begins “ALL THAT CERTAIN…”)
Grantee(s): Generally, the parties to whom the property is being transferred (i.e. the buyers).
Grantor(s): Generally, the parties who are transferring the property (i.e. the sellers).
Grantee(s) address: This is the address of the primary residence of the Grantee. It is provided so that the various taxing authorities in the county have an address to which to send tax bills. It is typically, but not necessarily the address of the property being transferred. For example, if the property is an investment property, it will typically be the address of the owner’s place of business or primary residence, not the address of the property being transferred
Description: This is a general description of the property, typically including a lot number, acreage, and/or adjacent street name. It is not the same as a legal description, which usually contains engineering data from which to plot the boundaries of the property.
Book/Page: This is the Book and Page number designation as assigned by the Recorder of Deeds. In reality, no physical books have been produced in the Recorder of Deeds since the early 1990s. Documents produced since then are stored either on microfilm or as a computerized image or both. The Book and Page designation is retained to keep document references consistent with the prior existing 300 years of records.
Recorded Date: The date the instrument was recorded in the Recorder of Deeds office.
Instrument Date: Generally, the date the instrument was executed (signed). The Recorder of Deeds usually takes this date from the top of the first page of the instrument where the language “This Deed, made on the [X] day [Y], in the year [Z]” appears.
Consideration Amount: The money paid by the buyer to the seller for the property. The Recorder of Deeds usually takes this number from the first page of the document. Under Pennsylvania law, however, a Deed may say on the front that the consideration is $1.00 and then certify on another part of the Deed or in an attached addendum what the actual sale price is for the property. The amounts shown in the stamps cancelled field can be used to calculate the actual consideration if the front of the Deed does not show it.
Stamps Cancel: 1% of the total consideration, except for:
(Situs) Property Address: Address of where the property is located as determined by its physical location. These addresses consist of a house/building number and a valid street name assigned by the local municipality as maintained by DCIS/GIS.
UPI(s) number: Uniform Parcel Identifier.
UPI(s) Count: Number of UPI(s) the document refers to.
